Cancellation & Refund Policy

At STEMquest, we strive to create a fun, engaging environment where children can learn and grow, and we love being part of their journey. We understand, however, that circumstances change and plans can shift. With that in mind, we've outlined our cancellation policy to ensure everything is clear and straightforward.

Birthday Party Cancellation

Cancellations Made 2 Weeks or More in Advance
Birthday parties cancelled more than 14 days prior to the scheduled date are eligible for a refund of the deposit, excluding a $25 cancellation fee.

Cancellations Made Less Than 2 Weeks in Advance
Birthday parties cancelled within 2 weeks of the scheduled date are not eligible for a refund of the deposit. However, the deposit may be credited towards services at STEMquest for up to 1 calendar year from the cancellation date without any cancellation fees.

- New bookings must be made only when a spot is available; no accommodations will be made if the calendar is blocked.
Cancellations initiated by STEMquest
In the event of a partial or complete technology failure resulting in the cancellation of a scheduled birthday party by STEMquest, parents have the following options:
- Request a full refund of the deposit.
- Reschedule the birthday party within 1 calendar year from the date of cancellation with a 10% discount on the final bill (after tax).
- New bookings must be made only when a spot is available; no accommodations will be made if the calendar is blocked.

Camps

STEMquest requires a 3-weeks notice for all camps, submitted in writing via email to info@stemquest.ca No exceptions will be made.
Cancellations on or after the start day: No refund.
21 days or less, prior to the start date: No refund.
22 days or more, prior to the start date: $25 cancellation fee
No refunds or credits are issued for missed classes due to illness or personal reasons.
In the event of a cancellation initiated by STEMquest, a choice between credit towards future camps, birthday party or a full refund will be offered.
No refunds are provided if your child is sent home for being sick, or due to aggressive behavior.

PD Days

Cancellations on or after the PD/PA day: No refund.
14 days or less prior to the start date: No refund.
15 days or more prior to the start date: $15 cancellation fee
No refunds or credits are issued for missed classes due to illness or personal reasons.
In the event of a cancellation initiated by STEMquest, a choice between credits towards future camps, birthday party or a full refund will be offered.
No refunds are provided if your child is sent home for being sick, or due to aggressive behavior.

Programs and Classes

Programs can be booked by paying the first month’s fee online. The fees for the subsequent months can be paid using either one of the three options listed below:
- Using Pre-Authorized Debit
- In person at the center using a credit card (Before the first class of the month)
- Via a payment link using a credit card/ PayPal (1st day of every month)
STEMquest requires a 30-day notice for all program cancellations, submitted in writing via email to info@stemquest.ca No exceptions will be made.
30 days or more, prior to the start date: $25 cancellation fee
No refunds or credits are issued for missed classes due to illness or personal reasons.
Class schedules are subject to change based on enrollment and lead coach availability.
In the event of a cancellation initiated by STEMquest, make-up classes will be offered.
No make-up classes or credits will be provided for cancellations not initiated by STEMquest.
No refunds are provided if your child is sent home for being sick, or due to aggressive behavior.

Ticketed/ Paid Events

No refunds or credits are issued for ticketed/ paid events if the cancellation is initiated by the attendee.
In the event of a cancellation initiated by STEMquest, refund will be offered.
No make-up events will be provided for cancellations not initiated by STEMquest.
No refunds are provided if your child is sent home for being sick, or due to aggressive behavior.
